Sharing Outlook calendars

Step 1: Grant permission

To share your calendar with someone you must first grant them permission to access it.

  1. Open Outlook and go to your Calendars.

  2. Under 'My Calendars', right-click on the Calendar you want to share and click Sharing Permissions....
  3. Click Add... and use the address book to find the person you want to give access to. Double-click on their name and then click OK.
  4. Select the person you just added and choose which Permissions 
    • For read-only access choose Reviewer - they can see items in your calendar but can't make changes.
    • For write access choose Editor - they can see and edit items in your calendar.

  5. Once you have selected the appropriate permission level, click OK to finish this step.

Step 2: Open shared calendar

If you have been granted permission to access a calendar, you then need to open it in Outlook.

  1. Open Outlook and go to File Open & Export > Other User's Folder.

  2. In the pop-up box click Name, find the person whose calendar you want to view, select their name and click OK.
  3. Select Calendar from the drop down list and then the click OK.
  4. The Calendar should appear in your list of calendars.
