Records management network

The Records Management Network was set up in October 2004 to contribute towards the University-wide work of the Information Manager. Acting predominantly as a communications link between the Records Management Office and all parts of the University, the Network has three aims:

  1. To raise the profile and understanding of effective records management throughout the University and to ensure that good practice is adopted;
  2. To ensure University-wide compliance with key pieces of legislation, such as the Data Protection Act 1998 and the Freedom of Information Act 2000; and
  3. To ensure the University’s records management policies are effectively implemented and followed in all parts of the University.

Members of the Network are known as Records Management representatives. They provide a vital link between the Records Management Office and the area of the University they represent. Each representative’s main responsibilities are:

  • To have understanding and knowledge of the University’s records management ethos and relevant policies, and of the Data Protection (DP) Act 1998 and Freedom of Information (FOI) Act 2000.
  • To maintain regular contact with the Information Manager on records management, data protection and freedom of information issues and ensure the Head of Department[1] is aware of relevant developments;
  • To be the point of contact for the Information Manager within each department;
  • To raise with the Information Manager any relevant queries or issues relating to compliance with the DP and FOI Acts or University policies within the department;
  • To liaise with and assist the Information Manager where necessary with the annual renewal of the University’s notification under the DP Act and maintenance of the University’s FOI Publication Scheme;
  • To be responsible, where and if necessary, for the effective distribution within the department of information, guidance and advice prepared by the Information Manager.
  • Using resources provided by the Information Manager, to provide basic training to new members of staff in the department on the DP and FOI Acts, and to refer staff to the Information Manager for more detailed training as appropriate.
  • To provide the Information Manager with information required for responses to Subject Access Requests and FOI requests where appropriate.
